WHO WE ARE
English Language Partners New Zealand provides English language education, settlement support, employment support services, community programmes and related services throughout New Zealand.

Different types of records may be kept for different periods depending on the nature of the information and the requirements that apply. Information is securely destroyed or de-identified when it is no longer required.

OUR SERVICES
The following sections provide extra information about how we handle personal information for particular ELPNZ services and activities. They should be read alongside the general privacy information above.
HUMAN RESOURCES, PAYROLL AND WORKPLACE HEALTH & SAFETY
Where you apply for a role, are employed by, volunteer with, contract to, or provide services to English Language Partners New Zealand (ELPNZ), we collect and use personal information to recruit, employ, support and pay our workforce, administer employment and contractor arrangements, maintain a safe workplace, and meet our legal obligations.
The information we collect may include recruitment and employment records, qualifications, right to work information, payroll and tax details, leave and attendance records, performance and training records, workplace health and safety information, emergency contacts and other information necessary to administer your employment or engagement.
We may share this information with authorised ELPNZ staff, payroll providers, Inland Revenue, ACC, WorkSafe New Zealand, recruitment or HR service providers, insurers and other organisations where required or permitted by law, or where necessary to administer your employment or engagement.
Employment, payroll and workplace records are retained in accordance with New Zealand legislation and ELPNZ's record retention requirements. You have the right to request access to, or correction of, your personal information in accordance with the Privacy Act 2020.
EDUCATION AND TRAINING ACT REQUIREMENTS
As a registered tertiary education provider and government-funded education provider, ELPNZ collects, uses, stores and discloses personal information in accordance with the Information Privacy Principles contained in the Privacy Act 2020.
We collect and hold personal information to:
- comply with the requirements of the Education and Training Act 2020 and other legislation relating to maintenance of records
- manage its business, including internal reporting, administrative processes and selection of scholarship and award/prize winners; and
- supply information to government agencies and other organisations, as set out below.
Disclosure to Government Agencies
ELPNZ may disclose personal information to:
- Tertiary Education Commission (TEC)
- Ministry of Education
- New Zealand Qualifications Authority (NZQA)
- Ministry of Social Development (MSD)
- Inland Revenue (IRD)
- Ministry of Business, Innovation and Employment (MBIE), including Immigration New Zealand
- New Zealand Police, the Ministry of Justice, Accident Compensation Corporation (ACC), and other agencies where disclosure is authorised or required by law.
The government agencies listed above may use the personal information supplied to them to:
- administer the tertiary education system, including allocating funding and the administration of the Fees Free schemes
- develop policy advice for government
- conduct statistical analysis and research
- update the New Zealand Record of Achievement
- include in the National Student Index or use in an authorised information matching programme with the New Zealand Birth Register
- fulfil their statutory responsibilities
- supply it to Statistics New Zealand to be integrated in Statistics New Zealand's Integrated Data Infrastructure.
Disclosure of personal information to other agencies and organisations
ELPNZ may also supply personal information as applicable to:
- other educational organisations for the purpose of verifying academic records
- Education New Zealand for the purposes of supporting international students
- scholarship providers for the purposes of administering scholarships
- debt collection agencies for the purposes of recovering unpaid fees
Storage of Information
Data collected from tertiary education organisations is now stored in the Cloud. Student enrolment and course and qualification completion data is stored in a Microsoft datastore based in Sydney, Australia.
PATHWAYS TO EMPLOYMENT SERVICES
Where you participate in Pathways to Employment or another employment support programme, ELPNZ collects and uses personal information to assess eligibility, deliver employment support, connect participants with employers and training providers, monitor programme outcomes, and meet contractual, funding and reporting obligations.
Depending on the programme, we may share relevant information with employers, work brokers, recruitment agencies, education providers, referral organisations, government agencies and other service providers where you have authorised us to do so, where it is required under programme funding arrangements, or where permitted or required by law.
